I’ve summarized some key areas of your business where having the right tools will save you time. The goal of any business, as it grows, is to increase efficiency whenever possible. With the use of the right business tools, we are able to automate processes to save time, increase revenue, and improve the overall client experience.
Project Management Software
Project management software is a great way to keep track of all of your ongoing projects and tasks. It will help you stay organized and on top of deadlines while tracking progress along the way. This is especially important if you are working on multiple projects at once, or if you need to collaborate with others in order to complete a project. Even if you don’t have a team (yet), I highly recommend getting in the habit of using a project management tool.
Popular tools include Asana, Clickup, Trello, and Monday.com.

Do your own research and see which one is most appealing to you. Some, like Trello, are much more basic while others like Clickup have a wide variety of applications and although this is appealing to a lot of people, it can be overwhelming to others.
Video Conferencing Software
In this digital age, video conferencing is one of the best ways to meet with clients virtually. With this technology, it’s easy to conduct online meetings from anywhere in the world with just a few clicks of a button! Two of the most popular options in the online space are Zoom and Google Meet. Either option can easily be embedded into your calendar invites or integrated into your calendar booking tool (such as Acuity or Calendly).
Invoicing Software
If you want to get paid quickly and easily by your clients (and who doesn’t?), then invoicing software is key! I am always shocked by how many business owners don’t have a solid invoicing system in place. It can be super simple, but having a professional solution is a must. This speak volumes in terms of your overall client experience. Make getting paid simple for your clients.
Aside from an invoicing solution, you will also need a payment processor. Two of the most popular options are Stripe and PayPal.
My personal preference for invoicing (as well as proposals and contracts) is Dubsado. I’ve been using it since 2018 and don’t have any plans to change. It meets all of my needs. There are other similar options such as Honeybook or Quickbooks. The beauty is, you can use these tools to create professional invoices that can be sent directly to your clients via email or text message.
Social Media Management Tools
Social media has become an invaluable asset for businesses large and small alike. With social media management tools such as Later or Plann, you can easily manage multiple social media accounts from one central dashboard while tracking analytics like impressions and engagement rates along the way. This makes it much easier to plan posts ahead of time and monitor how well they do after they go live!
If you’re not ready for a full-blown social media planning tool, you can start with something like Airtable to organize your content and graphics and even set it to a calendar view.
The Right Tools Save You Time
Starting or growing a business can be daunting—there’s no doubt about it! But with the right set of essential business tools up your sleeve – like project management software, video conferencing software, invoicing software, social media management tools – you’ll be able to handle any challenge that comes your way with confidence!
Remember to do your research and choose tools that fit your needs. You also need to select tools that you will actually use, so take your time to make sure they feel good to you and make sense for your individual goals.
Another important thing to remember that as you business grows, it’s normal to outgrow some of your tools.
